Job Description
1. Accounting activities
a. Registering of all accounting transactions in the right hardcopy‐ document and the used
software.
b. Issuing invoices to the customers inside and outside Egypt.
c. Generating periodic reports to management in Italy (Duties, Credit/Debit…).
d. Generating reports to management showing financial status, customer/suppliers status,
…
e. Reminding customers of due payments.
f. Keeping track of all down‐payments made to the suppliers, collecting the invoices from
them and verifying what should be paid in coherence to the down‐payment that was
already made.
g. Paying suppliers (cash or through T.T.) after taking the green light from management.
h. Taking care of the petit‐cash and registering all the outgoings.
i. Dealing with the Bank regarding issuing regular reports.
j. Dealing with the company legal accountant and synchronizing all work with him.
2. Work Flow Organization
a. Ensuring the use of “Part Processing Data Sheet” in which operators register the time of
every process taking place.
b. Registering in the file “Commessa” all mold items including materials, standard parts, …
to be able to monitor the mold costing.
c. Registering on daily/weekly basis the “Mold Process Sheet” ensuring that at mold
delivery time the sheet will be accomplished.
d. Using the “Mold Process Sheet”
e. Synchronizing with the technical management the work flow to ensure on time delivery
or updating our customer with the new date in case of late delivery.
f. Issuing weekly program for every machine with the help of technical management (This
will be after not less than 60 days of learning the work process inside the factory)
3. Inventory/Purchasing
a. Updating the inventory of materials, standard parts, tools, oils and other consumables
on daily basis.
b. Generating weekly reports to the management demonstrating inventory status.
c. Issuing orders to the suppliers after taking management approval.
d. Following up with local and foreign suppliers the shipments.
4. HumanResources
a. Making a filing system in which every employee in ItalTech has a separate file with all
the required data‐in.
b. Registering days of absence for every employee.
c. Following up with technical management the different training courses for every
employee in yearly basis.
d. Registering on daily basis the “POINTS PROGRAM” according to technical management
feedback for every employee (adding points in case of excelling and deducting points incase of mistaking). This will help too much in employee appraisal at the end of the year.
e. Taking care – in case of management approval in the future – of health / life insurance
of all staff.
5. Secretary Work
a. Making offers for customers with the help of the technical management.
b. Preparing agenda for partners meetings.
c. Taking minutes of meeting and generating a meeting summary.
d. Organizing flight trips for Italian guests (Zanetti, Cazzaniga,…).
e. Helping in the organization of trade‐fairs in the future.
f. Organize Import/Export shipments
This job description requires the following:
1. Good command of English or Italian (Written/Spoken) – Italian language will be privileged
2. Excellent use of Microsoft Office (Excel, Word and PowerPoint)
3. High sense of responsibility
4. Accuracy, order and punctuality
5. Abilityto work under stress
6. Previous experience of at least 2 years in any of the mentioned above tasks.
Working Hours: 9:00‐17:00 (Sat. & Sun. Off)
